The difference between a team that spends two days on a data subject request and one that closes it in an hour is not effort, it is preparation. When the work is defined and the data is already mapped, a request becomes a short, repeatable procedure. Here is the playbook.
Before Any Request Arrives
The time savings are earned before the clock starts:
- Map where personal data lives. A current inventory of the systems that hold personal data turns "locate" from a search into a lookup. This is the single biggest lever.
- Publish one intake path. A structured request form, linked from your privacy policy, so every request arrives the same way with the same fields.
- Assign an owner and a clock. One accountable owner per request, and a visible deadline, so nothing stalls in a shared inbox.
The Per-Request Procedure
- Receive and log the request through the form. The clock usually starts now.
- Verify identity at a level matched to what is being asked (opt-out is light; deletion is careful).
- Locate the person's data using your map, across every system, not just the obvious one.
- Act: assemble the access package, or perform the deletion or correction, redacting third-party data where needed.
- Review for exemptions and third-party data before anything goes out.
- Respond within the deadline, and note any extension to the requester before the original window closes.
- Close and record what was requested, what you did, and when.
The Shortcuts That Actually Help
- Templates for the common cases. A standard access-response format and deletion-confirmation message remove the blank-page tax on every request.
- Route by data location. Send the request to the systems and owners that hold the data automatically, rather than asking teams to go look.
- Keep the audit trail as you go. Logging at each step is faster than reconstructing the history later, and it is your defense if the response is challenged.
