Guest Access

Invite people outside your team, such as vendors, contractors, and staff without a Concord account, to answer what you share with them or acknowledge their policies, without giving them access to anything else.

Overview

Sometimes the person who needs to act isn't on your Concord team: a vendor answering part of an assessment, or a staff member who has to acknowledge your policies but never uses Concord otherwise. Instead of sending them a link anyone could open, Concord invites them as a Guest.

A guest signs in, so you always know who answered or acknowledged. They see only what was shared with them, and nothing else in your organization.

How Someone Becomes a Guest

You don't add guests by hand. They're invited when you share something with them:

  • Assessments: invite an outside respondent to an assessment, or to one section of it. See Assessments.
  • People: add someone without a Concord account to your personnel list and ask them to acknowledge your policies or complete training. See People.

Guests never take a paid seat.

Signing In

The invite only works for the email address it was sent to.

  1. The guest opens the button in the invite email.
  2. Concord sends a one-time passcode to that address. There's no password to create.
  3. They enter the passcode and land on My Work, which lists what they've been asked to do.

If they already have a Concord account, the invite adds your organization to it, and they sign in the way they normally do.

What Guests Can See

A guest has no permissions of their own. Everything they can open comes from what you shared with them:

Shared with themWhat they see in My Work
An assessment or a section of itAssessments, with only the parts you shared
Required policiesPolicies, to read and acknowledge
Required trainingTraining, to complete

They can't see your projects, settings, other people, or any other records.

Ending Access

A guest's access ends when what you shared with them ends:

  • Revoke an assessment invite, and they can no longer open it.
  • Offboard a person on your personnel list, and their policies and training disappear from their My Work.

Their records, such as answers they submitted or policies they acknowledged, stay in place for your audit history.
